AV Runbook

Privacy

Last updated October 31, 2026. AV Runbook (avrunbook.com) is the service this page describes. Questions: info@booth-book.com. Our terms cover the rest.

Your photos

  • Photos you choose are shrunk in your browser. The originals stay in your browser tab and are never uploaded or saved.
  • A smaller copy of each photo is sent to our AI provider (Anthropic) so it can read the model names and find the gear. We do not keep those copies.
  • Crops (small pictures of one piece of gear) are saved only when you save a runbook. Anything you blur is blurred in the saved picture itself.
  • If something looks like a password or key, we mask it and do not keep it. You can still blur areas by hand before saving or printing.

When you talk through the booth

  • A short recording of what you say is sent to a speech-to-text service (Deepgram) to turn it into words. The recording is processed and not stored by us.
  • The words are then sent to Anthropic to help write your runbook, and are saved with your room so you can edit them.

What we keep

  • Your email address, to sign you in, and your sign in details, held by our sign in provider.
  • The rooms and runbooks you save: gear names, steps, pictures, gear manuals, service templates, and the notes your crew adds.
  • For installers: your company name, logo and contact line, your team’s email addresses, and the client names and email addresses you choose to save.
  • Payment records: Stripe takes your payment and keeps your card details. We keep only what we need to know which plan or room you have paid for, and for how long.
  • Which plan buttons you click on the pricing page, so we know what to build.
  • Anonymous counts on the front page: how many visits, which buttons get clicked, and how far down the page people scroll. These are plain numbers per day, with no name, email or address attached.
  • How often you sign in and how long the app is open, counted per day, so we know what is used and what is not.
  • We may open a room to help you with a support question, or to find a problem. We do not read rooms for any other reason.

Email

When you use Send to client, we email the address you enter with your PDF and a checklist link, sent from AV Runbook in your company’s name. We keep the client’s email address only if you ask us to remember it. We also send emails you need to run your account, such as sign in codes and receipts. We do not sell or rent email addresses.

Who else handles your data

We use a small number of services to run AV Runbook. Each gets only what it needs to do its job:

  • Anthropic reads photos and writes drafts.
  • Deepgram turns recordings into text.
  • Stripe handles payments.
  • Supabase stores accounts and saved rooms.
  • Vercel hosts the site.
  • Google Workspace sends our email.

We do not sell your data and we do not use your photos or rooms to advertise to you.

Cookies

We use cookies and similar browser storage only to keep you signed in and to remember small choices, such as how you like the crew checklist shown. We do not use advertising cookies.

Share and crew links

A read-only link lets anyone who has it see the runbook. A crew link also lets them send a photo of a problem to be read for help, which is not saved. Neither needs an account. Anyone with the link can use it, so share it only with people you trust. You can turn a link off or replace it at any time from the room page.

How long we keep things

  • Free rooms are kept for 14 days.
  • Paid rooms are kept while your account exists. Installer rooms are hosted while the plan is active, and for 90 days for crew checklists after it ends, as the terms explain.
  • When you delete a room or your account, it is removed from our systems, though copies in our backups can take a short while to clear.

Your control

You can delete a room, or your whole account and everything in it, from the My rooms page. Deleting is permanent. To see, correct or remove anything we hold about you, or if you have a question about your data, email info@booth-book.com.

Children

AV Runbook is for people who run or install audio and video equipment. It is not meant for children under 13, and we do not knowingly collect their information.

Changes

If we change how we handle data, we will update this page and the date at the top, and tell you by email or on the site if the change matters.
